Job Title: Operations Assistant

Location: Dalung, Bali

Ever After Bloom specializes in the preservation of bridal bouquets. Our team ensures that every bouquet retains its beauty and sentimental value for years to come. We are seeking a reliable and dedicated Operations Assistant to join our team and support in providing exceptional products and services.

As the Operations Assistant, you will work in our Dalung workshop five days a week and pick up various tasks related to the resin and pressing bouquet preservation process. You will also assist with inventory management, customer communication and updating operational files.

Responsibilities:

Preservation Process:

  • Assist with daily tasks in our workshop, focusing on the floral preservation processes for both resin and pressed flowers, with a primary responsibility in drying bouquets. This also includes pouring resin, pressing flowers and colour correcting the flowers if necessary.
  • Follow precise instructions and safety protocols to ensure high quality products.
  • Package orders when complete and prepare shipping labels for outgoing shipments.
  • Maintain cleanliness in the workshop, including dusting, sweeping, mopping, and garbage removal.

Driving:

  • Collect bridal bouquets from various locations, primarily around Tabanan, Uluwatu, and Ubud, and deliver them to the workshop in Dalung.
  •  Ensure the secure and safe transport of bouquets in the provided collection boxes.
  •  Handle bouquets with care to avoid damage during transit.
  •  Assist adhoc driving like purchasing supplies as needed.

Inventory/Operations:

  •  Monitor stock levels weekly, including placing online orders for stock.
  •  Maintain accurate records of inventory, assets, orders, and shipments using tracking systems on Asana and Google Sheets.
  •  Assist in sourcing new suppliers and high quality products for our orders.
  •  Ensure all operational files are kept up to date.

Administrative Support:

  •  Communicate with customers via WhatsApp and email, ensuring a smooth order flow process.
  •  Maintain detailed records of customer interactions and orders.
  •  Support the business owner with ad hoc administrative tasks.

Adaptability:

  • Demonstrate a high level of adaptability and eagerness to learn new tasks and take on responsibilities as required by the business.
  •  Exhibit strong organizational and multitasking abilities, ensuring tasks are completed accurately and efficiently.

 Skills / Qualifications:

  •  Excellent verbal and written English communication skills, facilitating clear and effective interactions.
  •  Ability to work effectively both in a team environment and independently when required.
  •  Experience in a retail environment is advantageous, with an interest in design and creativity.
  •  Basic knowledge of inventory management and supply chain processes is beneficial.

 Requirements:

  • Flexible scheduling based on collection needs, including last minute orders requiring same day collection.
  • Willingness to work at our Dalung shop location five times a week on an agreed schedule, with priority given to bouquet collection days, primarily on weekends.
  •  Must have a bike suitable for transporting bouquets.
  •  Responsible and punctual.
  •  Ability to handle delicate items with care.
  •  Weekend work is required, with the ability to adapt to a changing schedule, including varying days off.
